Search this question and you will find numbers from 50 to 300. None of them are about your business. A telecaller confirming COD orders and a telecaller explaining a home loan do completely different work.

The useful answer is a method: work out the target from your own numbers, then check it every two weeks.

What decides how many calls are possible?

Four numbers:

  1. Connect rate: of the numbers dialled, how many actually picked up and talked.
  2. Average talk time per connected call: short for confirmations, longer for consultative sales.
  3. Gap between calls: the time to read the last note, log the outcome and dial next. See dial gap.
  4. Productive calling hours: not the shift length. Lunch, meetings and WhatsApp replies come out of it.

How do you calculate a fair daily target?

Use your last two weeks of call data.

Worked example (illustrative numbers):

InputValue
Productive calling time5 hours = 300 minutes
Connect rate40%
Average talk time when connected3 minutes
Average time for a not-connected attempt (ring + log)1 minute
Gap per call (logging, reading note)0.5 minute

Time per 10 dials = 4 connected × (3 + 0.5) + 6 not connected × (1 + 0.5) = 14 + 9 = 23 minutes.

300 ÷ 23 × 10 ≈ 130 dials a day, of which about 52 connect.

So a fair target here is roughly “130 dials, 50 connected conversations”, and the number to watch is the 50, not the 130.

Change any input and the target changes. That is the point.

Which telecaller KPIs matter more than calls made?

KPIWhy it matters
Connected conversationsOnly these can move a lead
Outcomes loggedA call with no outcome is lost information
Follow-ups done on timeMost sales happen on the second to fifth call
Missed calls returnedThe customer already wanted to talk
Leads moved to next stageThe closest daily sign of revenue
Talk timeVery low average talk time flags hang-up calls

How should follow-ups fit into the target?

Follow-ups due today come first. If a caller has 40 due, the fresh-lead target drops for that day. A target that ignores follow-ups pushes callers to chase new numbers and leave warm leads cold.

What goes wrong with call targets?

  • Target on dials only. Callers ring, hang up at the second ring and log “not picked”.
  • Same target for every role. Order confirmation and loan counselling cannot share a number.
  • Target set once, never changed. Connect rates move with season, lead source and time of day.
  • Targets without data. If the owner cannot see calls and outcomes per caller, the target is a guess.

How does Dialmio help set and track targets?

Dialmio logs every call on the caller’s own SIM with duration and outcome, and the owner dashboard shows calls, talk time, outcomes and missed calls returned per caller, live. The daily call report is built automatically, so the two weeks of data you need for the calculation above already exists.
