Most owners manage telecallers in one of two ways: hovering, or hoping. Neither works. What works is a short routine built around a few numbers you read at the same times every day.
What should an owner do every morning? (10 minutes)
- Check attendance. Who is in, who is on leave.
- Check today’s follow-ups per caller. If one caller has 60 due and another has 5, rebalance before calls start.
- Assign fresh leads. New enquiries since last evening go to callers with space.
- Set one focus for the day. “Every quote sent last week gets a call today.”
What should the midday check look like? (5 minutes)
Open the dashboard at around 1 pm and look for one thing: anyone with very few connected calls. Do not wait for the evening to find out someone had a bad morning. A quick “sab theek?” fixes most of it.
What should the evening review cover? (10 minutes)
Read five numbers per caller:
| Number | What it tells you |
|---|---|
| Connected calls | Real conversations had |
| Talk time | Whether conversations were real |
| Outcomes logged | Whether the record is complete |
| Follow-ups done vs due | Whether warm leads were kept warm |
| Missed calls returned | Whether incoming interest was caught |
Then ask one question to the team: “Which lead moved forward today?”
What should the weekly review include? (30 minutes)
- Lead-source quality. Which source produced conversations, not just numbers.
- Lost reasons. Price, timing, competitor, no need. Patterns tell you what to fix.
- Overdue follow-ups. Anything more than three days late gets reassigned or closed.
- One coaching point per caller. Based on their numbers, not on a feeling.
What makes telecallers actually use the system?
- Logging must take seconds. If it takes a minute, it will be skipped by the second week.
- The owner must use the data. If nobody reads the outcomes, callers stop filling them.
- No duplicate reporting. If they log in the app, do not also ask for an Excel or WhatsApp report.
More in getting a team to use a CRM every day.
What should you avoid?
- Targets on dials only (see telecaller daily targets).
- Public shaming on the team group.
- Changing lead allocation every day without reason.
- Tracking without telling staff what is tracked. See tracking employee calls legally.
How does Dialmio support this routine?
Dialmio gives the owner a live web dashboard of calls, talk time, outcomes and missed calls returned per caller, selfie attendance with location, an automatic daily call report, and follow-up lists per caller. The morning, midday and evening checks above each take a few minutes because the numbers are already there.
